Timesheets & Time Reporting
Timesheet Requirement
In order to be paid, hourly employees (including student assistants, work-study students, and hourly staff) must turn in a timesheet with the hours worked in the monthly reporting period and signed by the employee's supervisor. Deadlines for hourly timesheets are listed on the timesheets and may also be found in the "Timesheet Due Date" section below.
Monthly employees (including career/limited staff, academic researchers, and Postdoctoral Scholars) must submit timesheets. The timesheet is used to maintain a record of the employee's vacation and sick leave usage. Employees should submit a completed timesheet to their supervisor for approval by the first business day of the following month. Supervisors are responsible for submitting their employees' timesheets to RES Payroll in 108 Stanley Hall or 148 Calvin Lab by the fifth business day of the following month.
Graduate Student Researchers (GSRs) are not required to submit monthly timesheets.
Timesheet Due Dates
It is important that timesheets be submitted each month by the appropriate deadline. Monthly timesheets and Postdoctoral time reports are due by the 5th business day of the following month. It is suggested that timesheets be submitted to the supervisor by the 1st of the following month to allow them time to review, approve, and submit to our offices by the deadline. For example, the approved November 2009 timesheet should be submitted to the supervisor by November 1, 2009. The approved and signed timesheet should be sent to Payroll by November 7, 2009. If the Payroll Office does not receive the document by the deadline, one of the Payroll Analysts will send an e-mail reminder to the employee and the supervisor.

Submissions
Timesheets can be submitted in the drop boxes located in 108 Stanley Hall or 148 Calvin Lab. They may also be sent through campus mail addressed to: RES Payroll, 108 Stanley Hall, Mail Code 3220.
Timesheet Templates
When employees begin in RES, they will receive an email from a Payroll Analyst that includes a timesheet template. Instructions on how to complete the timesheets may be found on the first worksheet of the template. Employees may also come to 108 Stanley Hall if further assistance is needed.
